Salary: Points 18-22 of the SET Support Staff Salary Scale
FTE £29,269 - £31,364 per annum
Pro-rata £16,675 - £18,189 per annum, including an allowance for holiday pay.

THE POST:
Framingham Earl High School seeks to appoint an Examinations Manager. Framingham Earl High School is member of the Sapientia Education Trust (SET), which is currently led by the CEO. On appointment, the successful candidate will be required to complete a six-month probationary period.

• Able to work in partnership with a range of staff members to deliver the service to the school and its students.
• Be able to work with minimal supervision, analyse and problem-solve.
• Be able to maintain confidentiality and committed to providing the best possible service to the staff, students and parents/ carers.
• Be able to conduct themselves in a confident, professional manner.
• To have familiarity around managing budgets.

The qualifications and previous experience required for an Examinations Manager are:
• Have a sound track record of successful administrative experience.
• Be confident the Microsoft Office package and databases.


JOB SPECIFICATION:
General Responsibilities:
The Examinations Manager is responsible to the Deputy Headteacher for the efficient operation of the schools’ assessment and reporting procedures and for the conduct of all public examinations in accordance with the regulations of the Examination Awarding Bodies.

The post-holder will be required to comply with the Framingham Earl High School Code of Conduct for Staff and Volunteers.

A non-exhaustive list of specific responsibilities for the role is below and you will be required to undertake other duties and responsibilities as may reasonably be required.

Specific Responsibilities:
• Ensure good working knowledge of the examinations process and school’s procedures and be competent in the use of common and school specific IT systems.
• Ensure adherence to all regulations regarding the conduct of examinations to enable the Centre to maintain its examination status. This includes overseeing the security of examination papers, at all times.
• To be the main point of contact for and with Awarding Bodies in matters relating to the general administration of examinations and assessments.
• Produce and update policy and procedural documents relating to the examinations process.
• To lead on the JCQ Inspection process.
• Responsibility for the examinations budget.
• Ensure that the Head of Centre, Leadership Team and Subject Directors receive and are aware of changes in regulations and circulate these as appropriate to staff and students.
• Liaise with Directors of Subject to ensure that correct entries are made for all external examinations. Within in the timescales set by the Examination Boards.
• In consultation with staff, identify eligibility for Special Consideration and make applications within prescribed deadlines and communicate with parents/ carers/ students as appropriate.
• Liaise with the SENDCo and apply Access Arrangements and Reasonable Adjustments according to JCQ regulations.
• Work with Directors of Subject to arrange mock examinations in the Centre and formal GCSE practical assessments such as Drama, Art, Food & Nutrition, Music, PE, Design & Technology.
• Work with Subject Directors to ensure the NEA protocol is followed by relevant subjects. This includes: collection and submission of marks, uploading examination material to exam boards secure sites and posting sample work.
• Liaise with staff responsible for students not attending school and make appropriate arrangements for those students to be able to sit mock and final examinations where appropriate.
• Draw up examination timetables as soon as is practicable in order to determine issues related to invigilation, room availability and general centre planning. Feed these into the school calendar.
• Discuss most cost-effective strategy for implementing invigilators and access arrangements.
• Maintain accurate and up-to-date data relating to examination entries and results on the School’s MIS, Bromcom. Produce and display seating plans and keep documentation, such as attendance registers, secure until after the deadline for appeals to results.
• Disseminate information about examinations, including regulations and timetables, to staff, students and parents/carers and have timetables published on the School’s calendar and website, together with associated advice and guidance.
• Line manage and maintain good relationships with a team of invigilators, ensuring that they are trained annually to keep up to date with the latest regulations. and that they receive training, as appropriate, each year. Monitor costs for invigilation and report these on a regular basis to LT.
• In consultation with Line Manager recruit and maintain the team of invigilators, including processing timesheets for payment.
• Administer internal and external examinations, ensuring adherence to all examination regulations, solving arising operational issues and referring any instances of malpractice to Head of Centre (Headteacher).
• Organise and administer the collation and distribution of results, in conjunction with Sline manager, for GCSE results day.
• Work for 1 week in August to prepare results for collection, support on collection day and be available for support with appeals
• Ensure that students and parents/carers are in receipt of procedures for appeals and results enquiries. Administer appeals, including payments, within Exam Board deadlines.
• Respond to any complaints and queries that may arise throughout the examinations cycle, liaising with SHead of Centre or Deputy Headteacher where necessary.
• Collate official exam certificates for distribution.
• Provide other centres with results and data specific to students who previously studied at this centre. Respond to queries from alumni regarding results or certificates.
• Ensure contingency plans are in place and kept up to date, feeding into the School’s business continuity plan.
• Undertake any other duties that are within the scope of the post, as determined by Headteacher.

HOURS OF WORK:
Working Pattern:
The total annualised hours will be 960 based over 40 weeks per year. There are 10 weeks during the year where there will be a requirement to work 42 hours per week; flexibly across 5 days according to exam needs. For the remaining 30 weeks, the weekly contracted hours will be 18 hours split across at least 3 days per week.
• Continuous Professional days are included in pro-rata salary and working hours.
• Holidays- Holiday pay entitlement is included in the pro rata salary for the post and there is no entitlement to take holidays during term-time.
• CPD Days- Your working hours do not include the automatic requirement to work on published CPD days, but you may be required to attend mandatory training and in these cases, the additional hours may be claimed on a timesheet.
• Overtime- Additional hours may be worked by mutual agreement with the line manager and claimed on a timesheet. Additional hours will be paid at the Employee’s standard rate of pay.

New post-holders will normally be appointed on the lower point of the salary scale.

As salaries payments are averaged out over the 12 months of the academic year; if an individual begins employment with the trust, or an employee changes their contract, part way through the academic year a Mid-Year Adjustment calculation will be made. This is to ensure that employees are only paid for work they will do over the remaining months of the academic year.

Annual holiday entitlement for full-time support staff is 34 days (including bank holidays), rising to 38 days after 5 years’ service. Holiday entitlement is pro-rata for employees who work less than 52 weeks per year and/or less than 37 hours per week.

School staff enjoy a number of non-contractual benefits, including free refreshments and midday meals during term-time.

The post-holder will be entitled to join Framingham Earl High School’s nominated pension scheme for support staff.

DRESS CODE:
The post-holder will be expected to wear appropriate business attire. All staff will be supplied with appropriate Staff ID. This must be worn at all times to ensure that students, staff and visitors are able to identify Framingham Earl High School employees.

All staff must be prepared to undergo a number of checks to confirm their suitability to work with children and young people. The Trust reserves the right to withdraw offers of employment where checks or references are deemed to be unsatisfactory.

The Job Description will be reviewed annually as part of Framingham Earl High School’s Performance Management programme.
